AccessWay Patient Mobility LLC ("AccessWay," "we," "us," or "our") provides non-emergency medical transportation services, including wheelchair-accessible transportation, in Nassau and Suffolk Counties, New York. We respect the privacy of patients, family members, caregivers, hospital and facility staff, and visitors to our website.

This Privacy Policy describes how we collect, use, disclose, and safeguard information in connection with transportation requests, scheduling, payment processing, customer communications, and our website.

1. Information We Collect

Depending on the service requested, we may collect:

  • Identifying and contact details: names, date of birth when provided for transportation coordination, email addresses, phone numbers, and requester or caregiver contact information.
  • Transportation details: pickup and destination locations, dates, times, trip requests, and special transportation or accessibility requirements.
  • Passenger assistance details: wheelchair or mobility accommodations, assistance instructions, and other information supplied to arrange transportation safely.
  • Payment and transaction details: quoted prices, payment status, transaction references, and payment confirmations. Card payments are processed by third-party providers such as Square.
  • Communications: calls, emails, forms, text messages, and service-related correspondence.
  • Website information: technical information such as browser details and cookies or analytics data, where used.

Transportation information may be supplied by a customer or by a hospital, rehabilitation center, nursing facility, care manager, or authorized person arranging transportation on the customer's behalf.

2. How We Use Information

We use information as reasonably necessary to:

  • Review transportation requests, prepare quotes, and schedule services.
  • Coordinate drivers, pickups, accessibility accommodations, and schedule changes.
  • Send booking confirmations, service updates, reminders, invoices, and secure payment links.
  • Process payments, resolve questions, and maintain business records.
  • Protect our operations and comply with applicable legal obligations.

3. SMS / Text Messaging Privacy

If a recipient has provided valid consent to receive AccessWay transportation-related text messages, we may send payment links, reservation confirmations, pickup reminders, scheduling changes, and requested service updates. Message frequency varies. Message and data rates may apply. Consent to receive text messages is not a condition of purchasing transportation services.

Recipients can reply STOP to opt out of automated text messages or HELP for assistance. They may also contact us directly.

SMS privacy commitment: We do not sell or share mobile phone numbers, SMS opt-in information, or text-messaging consent with third parties or affiliates for marketing or promotional purposes. We may use messaging providers and mobile carriers solely as needed to deliver and administer requested messages or as required by law.

Providing a telephone number to arrange transportation does not by itself establish consent to receive automated SMS. Messages will be sent only when valid consent or other legally sufficient authorization has been established.

4. When We Share Information

We may share relevant information as reasonably necessary to provide transportation and operate our business with:

  • Authorized dispatch personnel, drivers, and service partners.
  • Hospitals, care facilities, care managers, and authorized contacts involved in arranging transportation.
  • Service providers supporting payments, messaging, hosting, and scheduling, such as Square, Twilio, Google, and Squarespace, as applicable.
  • Government authorities or others when required by law or to address legitimate safety concerns.

We do not sell personal information for marketing purposes. SMS opt-in information is subject to the additional limitations in Section 3.

5. Transportation and Health-Related Information

Some requests contain information about mobility limitations or other health-related transportation needs. We use this information to coordinate safe transportation and restrict access to personnel who need it for legitimate service purposes. Applicable healthcare privacy requirements, including HIPAA where legally applicable, may impose additional obligations. We do not intentionally transmit detailed medical information or clinical records through ordinary SMS.

6. Information Security and Retention

We use reasonable administrative, technical, and operational safeguards intended to protect personal information. No website, email, SMS, or electronic storage system can be guaranteed completely secure.

We retain information as reasonably necessary to provide services, maintain records, resolve disputes, and comply with applicable legal or regulatory requirements, then dispose of it under applicable procedures.
