Welcome to AccessWay Patient Mobility LLC ("AccessWay," "we," "our," or "us"). These Terms & Conditions describe the general terms governing transportation reservations, quotes, payments, website usage, and electronic communications associated with our services.

AccessWay provides non-emergency medical transportation, including wheelchair-accessible transportation, primarily throughout Nassau and Suffolk Counties, New York.

By requesting or purchasing transportation services, you acknowledge the terms applicable to your reservation. Separate written arrangements with healthcare facilities or transportation partners may apply when expressly agreed.

1. Transportation Services

AccessWay provides scheduled, non-emergency transportation for individuals requiring ambulatory or wheelchair-accessible transportation.

Services may include transportation to and from hospitals, rehabilitation facilities, nursing homes, medical appointments, dialysis centers, private residences, and other approved destinations.

Our services are not ambulance services and are not intended for medical emergencies. AccessWay drivers do not provide emergency medical treatment or clinical care.

2. Reservation Requests and Confirmation

Transportation requests may be submitted directly by customers, family members, caregivers, authorized representatives, hospitals, or healthcare facilities.

A request or quotation does not guarantee a reservation. Transportation is confirmed only when AccessWay has accepted the booking and any required approvals or payment arrangements have been completed.

Reservations are subject to vehicle availability, operational requirements, accessibility needs, and scheduling conditions.

AccessWay may contact the requester to clarify transportation details before accepting or confirming a reservation.

3. Transportation Quotes and Pricing

Transportation prices are based on the details provided, including pickup and destination locations, transportation type, accessibility requirements, service date, and any additional assistance requested.

Depending on the reservation, additional fees may apply for services such as:

  • Sunday transportation
  • Holiday transportation
  • Early-morning or after-hours service, when offered
  • Special accessibility equipment or assistance
  • Additional stops or material itinerary changes
  • Extended waiting time, where applicable
  • Other specifically disclosed transportation requirements

Applicable charges will be identified in the quote or otherwise communicated before the customer is asked to approve a revised price.

Quotes may require adjustment if the information originally supplied is incomplete, incorrect, or materially changes. AccessWay will communicate revised pricing for approval before proceeding with the changed service.

4. Payments and Billing

Payment arrangements will be communicated when a transportation reservation is approved.

AccessWay may accept electronic payments through Square, including secure online payment links, as well as other approved payment methods.

Payment information entered into a Square checkout page is processed through Square's payment services. Square's own terms and privacy practices may also apply.

A successful payment does not authorize transportation outside the terms of the confirmed reservation. Any necessary changes will be addressed with the customer or authorized requester.

Receipts and payment confirmations may be delivered electronically.

5. Cancellations, Rescheduling, and Refunds

Customers and authorized requesters should notify AccessWay as soon as possible when transportation must be canceled or rescheduled.

Cancellation charges, waiting charges, no-show charges, and refund eligibility depend on the terms communicated for the particular reservation, any applicable facility agreement, services already performed, and applicable law.

AccessWay will review refund requests based on the reservation circumstances and communicate any approved refund or credit.

This section does not establish an automatic cancellation fee or a universal nonrefundable-payment policy. Any specific cancellation terms should be disclosed separately before they apply.

6. Pickup Times and Scheduling

AccessWay makes reasonable efforts to provide transportation at the agreed pickup time.

Actual pickup or arrival times may be affected by traffic, weather, road closures, hospital discharge readiness, passenger assistance requirements, or other circumstances outside our reasonable control.

Customers and facilities should provide accurate transportation information and communicate scheduling changes as early as possible.

AccessWay will communicate significant scheduling changes when reasonably practicable.

7. Wheelchair Accessibility and Passenger Assistance

Customers and authorized requesters must disclose relevant transportation and mobility requirements so that AccessWay can determine whether appropriate equipment, staffing, and assistance are available.

Wheelchair securement, lift use, boarding assistance, and other services are provided according to applicable safety requirements and operational capabilities.

Specialized assistance, including stair transportation or lifting services, is not automatically included with a standard transportation reservation and must be reviewed and specifically accepted by AccessWay.

AccessWay reserves the right to decline or modify a requested service when it cannot be performed safely or within applicable legal and operational requirements, subject to applicable nondiscrimination and accessibility laws.

8. SMS Text Messaging Terms

AccessWay Patient Mobility LLC may offer optional transportation-related SMS notifications to patients, family members, caregivers, and authorized contacts who have provided valid consent or other legally sufficient authorization.

Messages may include:

  • Transportation reservation information
  • Secure payment links
  • Payment and booking confirmations
  • Pickup reminders
  • Scheduling and transportation updates
  • Customer-service responses

Message frequency: Varies based on transportation reservations and communication needs.

Message and data rates may apply.

Opt out: Reply STOP to stop receiving automated SMS messages from AccessWay.

Help: Reply HELP for assistance, or contact AccessWay using the contact information below.

Consent: SMS participation is optional. Consent to receive automated text messages is not a condition of purchasing transportation services.

Providing a telephone number for transportation coordination does not by itself establish consent to receive automated SMS messages.

Privacy: Mobile phone numbers and SMS opt-in or consent information will not be sold or shared with third parties or affiliates for marketing or promotional purposes. See our Privacy Policy .

9. Communications With Hospitals and Facilities

Hospitals, nursing facilities, rehabilitation centers, and other authorized organizations may arrange transportation on behalf of patients.

Requesting organizations are responsible for providing accurate information and obtaining appropriate permissions for disclosures and communications made on behalf of the patient or authorized representative.

The provision of contact information by a facility does not automatically establish the separate consent required for automated SMS communications.

Additional facility-specific agreements may govern booking procedures, invoicing, scheduling, and other operational arrangements.

10. Customer Responsibilities

Customers and authorized requesters agree to provide accurate transportation details, disclose relevant mobility assistance requirements, follow reasonable safety instructions, and communicate changes promptly.

Customers should not use AccessWay services as a substitute for emergency medical transportation or emergency healthcare.

11. Website Use and Third-Party Services

Information presented on the AccessWay website is intended to describe our transportation services and provide ways to request transportation.

We may use third-party providers for payment processing, scheduling, messaging, website hosting, and other business functions.

Third-party websites and checkout pages may be governed by their respective terms and privacy policies.

Users agree not to misuse our website, submit intentionally false reservation requests, or interfere with its operation.

12. Service Limitations and Applicable Law

AccessWay provides transportation services subject to applicable transportation laws, licensing requirements, safety standards, and consumer protections.

Nothing in these Terms & Conditions is intended to waive a customer's rights under applicable law, limit liability where such limitations are prohibited, or restrict rights relating to accessibility and nondiscrimination.

These terms are governed by applicable laws of the State of New York, subject to any controlling federal law.

13. Changes to These Terms

AccessWay may update these Terms & Conditions to reflect operational, service, technology, or legal changes.

Updated terms will be posted on this page with a revised effective date. Changes will not retroactively alter an existing confirmed reservation unless agreed or permitted by law.
